Are you organized, enthusiastic, and passionate about bringing people together? Women in Leadership Foundation's Victoria Chapter is seeking an Events Coordinator to play an important role in planning engaging networking events, professional development sessions, and leadership initiatives that empower women across Vancouver Island.
This is a hands-on hybrid opportunity ideal for organized individuals looking to gain real-world event planning experience with a national nonprofit organization.
Commitment:
Type: Ongoing flexible volunteer opportunity
Schedule: Flexible based on your availability
Hours: Approximately 4–6 hours per week
Format: Hybrid – Victoria preferred (remote support welcomed)
Location: Based in Victoria with some in-person and remote work
Start date: Flexible, to be arranged with successful candidate
Requirements:
Strong organizational and communication skills
Detail-oriented and reliable
Comfortable working both independently and collaboratively
Passion for leadership, community engagement, and event planning
Experience in events, hospitality, administration, nonprofit work, or customer service is an asset but not required
Ability to manage multiple tasks and timelines
Positive, professional attitude
Flexibility and adaptability in a dynamic environment
Key Responsibilities:
Event Planning & Coordination
Support planning and execution of Victoria Chapter events
Coordinate logistics, timelines, registrations, and volunteer schedules
Maintain planning documents and event checklists
Manage event budgets and vendor relationships as needed
Develop event timelines and ensure smooth execution
Community & Partner Engagement
Assist with outreach to local businesses, sponsors, speakers, and community partners
Build relationships with organizations throughout the Victoria region
Identify potential community partners and sponsorship opportunities
Maintain communications with sponsors and partners
Support recruitment of speakers and facilitators
Communications & Promotion
Work with the National Marketing Team to promote chapter events
Assist with email communications and event registrations
Support social media promotion before, during, and after events
Create event communications and promotional materials
Track RSVPs and maintain attendee communications
Event-Day Support
Assist with venue setup, registration, guest support, and event logistics
Welcome attendees and represent Women in Leadership Foundation professionally
Coordinate volunteer assignments on event day
Handle event-day communications and troubleshooting
Support event evaluation and feedback collection
Team Collaboration
Attend virtual planning meetings with the Victoria Chapter and National Team
Contribute ideas that enhance attendee experience and event success
Communicate regularly with chapter leadership and organizing team
Participate in post-event debriefs and evaluations
Support chapter initiatives beyond formal events
