Are you organized, detail-oriented, and passionate about optimizing systems and workflows? Do you want to help a growing community organization become more efficient and impactful?
Try Toronto is seeking 1 dedicated volunteer to set up and optimize our task tracking system and workflow automations. As our Ops Systems & Automation Volunteer, you'll help our team stay organized, improve efficiency across approximately 20 active projects, and create systems that support our mission of building newcomer belonging.
This is a perfect opportunity to develop operations and systems optimization skills while directly supporting Try Toronto's growing community work.

Schedule: Flexible based on your availability
Hours: Approximately 10 hours per week
Format: Fully remote
Volunteers Needed: 1
Focus: Task tracking system setup and workflow automations
Project Scope: Approximately 20 active projects
Requirements:
Must be at least 18 years old
Organized, detail-oriented, and methodical
Experience with or strong interest in task tracking systems (Asana, Monday.com, Notion, etc.)
Familiarity with workflow automation tools (Zapier, Make, IFTTT, etc.)
Problem-solving mindset and ability to think about processes
Strong communication skills to understand team needs
Able to work independently and take initiative
Reliable and meets deadlines
Interest in supporting organizational efficiency and growth
Basic project management understanding
Key Responsibilities:
Task Tracking System Setup
Assess Try Toronto's current task tracking needs and processes
Select and configure an appropriate task tracking system (Asana, Monday.com, Notion, or similar)
Set up project templates and task structures
Create documentation and user guides for team members
Train team on using the new system
Troubleshoot and optimize system usage
Workflow Automation
Identify key workflows that can be automated (data entry, notifications, reporting, etc.)
Set up workflow automations using available tools
Connect systems to reduce manual work (e.g., linking task tracker to communication tools)
Test automations to ensure they work correctly
Document automation processes and workflows
Maintain and optimize automations over time
Process Optimization
Analyze current team processes and identify inefficiencies
Recommend process improvements and automation opportunities
Implement changes gradually with team feedback
Create standardized templates for recurring tasks
Monitor system usage and gather team feedback
Make adjustments based on feedback and changing needs
Documentation & Support
Create clear documentation for all systems and processes
Develop user guides for team members
Provide training and support for system adoption
Maintain updated documentation as systems evolve
Create quick-start guides and FAQ resources
Be available for questions during initial implementation
Ongoing Maintenance
Monitor system performance and identify issues
Provide regular maintenance and updates
Respond to team requests for system improvements
Track metrics on system usage and efficiency gains
Suggest ongoing optimizations as the organization grows

Try Toronto, operating as Try Canada Initiative, is a growing community organization founded in 2023 dedicated to helping newcomers fall in love with Canada by building genuine emotional connection and belonging. As we grow from serving over 1,600 community members in 2025 to expanding our impact, we need operational systems that support our team's efficiency and coordination.
Our mission is to help newcomers build the emotional connection that transforms residents into engaged citizens. Our approximately 10 monthly events and growing programs require solid organizational systems to coordinate effectively across multiple initiatives.
